Overview

SimpleConsign uses user roles to manage access levels across your store. This ensures that each team member has the appropriate level of access to perform their job while maintaining system integrity and security.

Each role determines what a user can see and do in two key areas of the system:

  • Back Office: Used for managing inventory, consignors, reports, settings, and payouts.

  • Terminal: Used for checkout operations including sales, returns, and payment collection.

This article explains the different types of users, their default permissions, how to assign roles, and best practices for managing access. It also includes a permissions matrix and information on using manager overrides.

Default User Roles

1. Primary User

  • The initial user account created when a SimpleConsign account is set up

  • Automatically has full Admin access and billing permissions

  • Cannot be deleted or reassigned

  • Should belong to the store owner or highest-level administrator

2. Admin / Owner

  • Full access to all areas of the system

  • Can add, edit, or remove users

  • Ideal for store owners or top-level administrators

  • Has access to both Back Office and Terminal

3. Manager

  • Broad access to operational functions

  • Can process transactions, manage inventory, and oversee staff actions

  • Can be assigned override permissions for high-risk actions (see below)

  • Typically has access to both Back Office and Terminal

4. Cashier

  • Limited access focused on checkout and sales

  • Typically restricted to the Terminal

  • Cannot view reports, settings, or perform sensitive actions in the Back Office

Manager Overrides

Some sensitive tasks (like refunds or editing payouts) are gated by override permissions. These are additional checks that require elevated access within a user’s role.

  • Assigned via Users & Permissions > Role > Override Permissions

  • Common overrides include:

    • Voids

    • Returns

    • Adjust Consignor Account

    • Inventory Deletions

    • Gift Card Redemption (No Barcode)

How to Assign or Change a Role

  1. Go to Settings > Users & Permissions

  2. Select the user you want to edit

  3. Use the Role dropdown to change their assignment

  4. Save changes

Best Practices for Managing User Access

  • Always assign the least necessary access for each user

  • Use unique logins for each staff member

  • Review access levels periodically, especially when responsibilities change
