SnapSMS is SimpleConsign's built-in texting platform, giving you two-way conversations, group messaging, and marketing text campaigns from directly within your CRM. You'll find it under the Marketing tab — look for SnapSMS in the menu.
Because SnapSMS integrates with your SimpleConsign data, it automatically syncs client and consignor names, phone numbers, and whether each number is a mobile number that's opted in to receive texts. Only contacts meeting all three conditions (valid mobile number + opted in) are available to text.

Your Two Texting Numbers
Your location is assigned two separate texting numbers, and understanding the difference matters before you send anything.

| Transactional | Everyday service messaging — one-to-one conversations with a customer or consignor about a purchase, an item, a pickup, or a question. | Full two-way. You send, they reply, and the conversation stays in one thread. |
| Marketing | Promotional messages sent to a group — new arrivals, sales, events, anything designed to bring people in. | Outbound only. Replies are collected separately under Marketing Replies. |
Both numbers are shown in Settings > General Information. They're assigned to your location during onboarding and can't be edited.
Keeping the numbers separate also keeps the two kinds of consent separate: someone can opt out of marketing texts while still receiving the service messages they want.
Getting Around SnapSMS
A few things you'll notice across the top of the platform:
- Dark mode — toggle the display to dark mode if you prefer it.
- Logged-in user — shown in the upper right, with a logout option.
- Segment counter — tracks how many text segments you've used based on your plan.
Understanding Text Segments
Carriers count one segment as 160 plain text characters, including punctuation and spaces. SnapSMS tracks your segment usage automatically and displays your running count in the upper right corner, but it's worth keeping segment length in mind as you compose longer messages — every character counts toward it, in both directions: every message you send and every reply you receive counts, and so does every auto-reply and keyword response the system sends on your behalf.
Contacts & Groups
The Contacts & Groups module lists everyone synced from your system, along with their first name, last name, email, and phone number.
Finding and managing a contact
- Use the search bar to find a specific client or consignor.
- Select Edit to manually update a contact's information.
- Select Delete to remove someone from the texting system. This does not delete them from your SimpleConsign software — it only removes them from SnapSMS.
- The message icon next to a contact takes you straight to the Messages page with that person already selected, ready to compose.
Adding a contact manually
Most contacts sync automatically, but you can add one by hand if needed. First name, last name, email, and phone number are required — just fill in the fields and save.
Opt-in and opt-out
If a customer or consignor replies STOP to any text, they're automatically opted out of future SnapSMS messages. You can review your full opt-in and opt-out lists at any time, and export your opt-out list as a CSV for reference.
If someone opts out by mistake and wants back in, they'll need to text START to your assigned SnapSMS number from their own mobile device. This re-triggers their opt-in status — there's no way to opt someone back in from within the system on their behalf.
Creating and Managing Groups
Groups let you organize contacts for group messaging. To create one, name the group and choose whether it's marketing or transactional. That choice determines which of your two numbers the group's messages send from, so set it deliberately — see Your Two Texting Numbers above for what each number means for your customers. You can rename or delete a group at any time from the Groups list, and each group has its own message icon to jump straight into composing.
There are three ways to add people to a group:
- Manually — search by name or phone number and add contacts one at a time. Good for small, specific lists.

CSV import — upload a list of contacts. A few things to know:
- The system cross-references your import against existing opt-outs — anyone already opted out won't be added, and they'll still need to text START to opt back in.
- If a number appears more than once in your file, only the first matching client or consignor is imported, so no one ends up duplicated in a group.
- Import lists are capped at 4,000 contacts per file. Larger lists need to be split into multiple files — this also helps keep large outbound sends from getting flagged as spam by carriers.
- A sample CSV/Excel template is available for download if you need the correct format.

List Builder — build a group automatically based on criteria pulled from your SimpleConsign data, such as:
- Rewards points or company rewards points (equal to, less than, greater than a value)
- Store credit balance
- Consignor status (is / is not a consignor)
- Last transaction or last consignment date (on, before, after, or between dates)
- Total spend
- Customer rating (tied to the Reputation Management & Reviews platform)
- Bought brand (is, is not, or contains)
Your count may be lower than you expect: on top of your criteria, SnapSMS only pulls in people who also have a valid, opted-in mobile number. Set your criteria and search — SnapSMS will show how many matching contacts it found, and you can save the results as a new group.
Sending Messages
From the Messages page, search for a contact by name or phone number, or search for a group name to message everyone in it at once. Every conversation thread is saved and stays available for reference — nothing disappears after it's sent.
A few features available while composing:
- Signature — your business name is added by default. Every outbound message also automatically includes "Reply Stop to unsubscribe," per carrier requirements — you don't need to type this yourself.
- Segment counter — shows how many segments your message will use as you type.
- Templates — save a message you send often as a reusable template, and name it for easy reference later.
- Attachments and links — attach an image (for MMS) or a link. Carriers prefer full HTTPS URLs over shortened links to avoid messages being flagged as spam.
- Personalization tags — insert a tag like first name so each recipient's message is personalized automatically, especially useful for group sends.
- Google Maps link — insert a direct link to your location's map, handy for customers who need directions.
- Signature toggle — turn off the business name signature mid-conversation once a contact is used to your number (the "Stop to unsubscribe" line always stays, regardless).
- Undo/clear — clear a message you're composing if you want to start over.
To the right of a conversation, you'll see the contact's name, mobile number, and contact details, along with the option to edit them.
Internal Notes
Each conversation has a notes area for your staff. These notes are internal to SnapSMS only — they're not written back to the customer or consignor's profile, and customers never see them. They're useful for leaving context between staff members, for example if a shift changes mid-conversation.
Marketing Replies
When you send to a marketing group, it goes out from a separate, dedicated marketing number and is outbound only. If a customer replies, that response appears under Marketing Replies rather than in a regular conversation thread. To continue a two-way conversation with that person, go to Messages (or Contacts) and search for them individually — replies can't be continued directly from the Marketing Replies view.
Scheduling Messages
Use this when you know what you want to send and when, but you'll be tied up or simply don't want to forget.
- Add a scheduled text.
- Choose recipients — search for individual contacts or a group, just as you would for a regular send.
- Compose the message — templates, personalization, and the signature toggle all work the same way here.
- Set the date and time you want it to send.
You can edit or delete a scheduled message any time before it sends. Once the scheduled time passes, it sends automatically on behalf of your location — so it's worth double-checking the message before you schedule it.
Settings
Plans & Alerts
Choose whether to receive email notifications for SnapSMS activity:
- Admin email alerts — sent when a customer sends a new message.
- Chat log email alerts — sent for full back-and-forth conversations.
Enable either option, enter one or more email addresses (comma-separated for multiple), and set a subject line. Remember to save after making changes.
General Information
- Your assigned transactional and marketing phone numbers are shown here and can't be changed — they're set during onboarding.
- Business name and email are also set during onboarding. If you'd like to shorten your business name for the signature field, you can do that here.
- Toggle your signature on or off by default (we recommend leaving it on early in your texting rollout).
- Text preview — shows the last message sent in a conversation.
- Show sent by name in chat — when enabled, staff can see which team member sent each message in the internal log (customers never see this).
Templates
Create standard messages in advance. Give the template a name (for your reference only — customers don't see it), write the message, and save. Templates can be edited anytime, including right before you send one.
Keywords
Set up an automatic response tied to a specific word — commonly used for marketing calls-to-action ("text INFO for more details") or frequently asked questions ("hours," "location," etc). Enter the keyword and the response you want sent automatically when someone texts it.
Auto-Replies
Set up automatic messages based on business hours:
- Closed auto-replies — sent outside business hours (e.g., "We're currently closed. Someone will contact you the next business day.")
- Business auto-replies — sent during business hours, useful if staff can't respond immediately (e.g., "We're currently assisting other customers. Someone will respond within the hour.")
Build your hours schedule to control when each applies. Keep in mind: every keyword and auto-reply message — inbound or outbound — counts toward your segment usage.
Reports & Dashboards
- Message volume — filter by day, week, month, or year to see outbound and incoming message counts.
- Opt-in/opt-out activity — also viewable in Contacts & Groups, but available here for reporting.
- SMS error report — run manually (it doesn't trigger automatically) to see any messages that failed to deliver, along with the reason (for example, an unreachable or disconnected number). This is a good prompt to get an updated phone number from that customer or consignor next time they're in.
- Duplicate phone number report — flags duplicate numbers found during syncing so you can clean up your records; exportable as a CSV.
Page Builder
If you need to share more than a text allows, you have two options, and either one is a good choice depending on what you're sharing:
- Paste a full HTTPS URL directly into your message. It becomes clickable automatically — no Page Builder needed. This is the simplest option if you're just pointing someone to your website or a social media page.
- Build a page with Page Builder when you want something more visual of your own — images, formatted content, and clickable buttons — rather than sending people to an existing page.
To build a page:
- Title the page and add elements using the + button — images, text blocks, and clickable buttons.
- Use the settings icon on any image to swap the photo or adjust size and shape (circle, rounded, thumbnail).
- Click into any text block to edit it directly, with formatting options similar to email or a word processor (bold, italics, underline, alignment, font, size, and color).
- Double-click a button to set its label and choose what it links to — a URL, an email address, or a click-to-dial phone number.
- Preview how the page looks on mobile, tablet, laptop, and desktop (we recommend editing in desktop view).
- Save at any time from the upper right.
Once published, share the page's link in a text message — the customer taps it to open the full page on their device. This is a great option for sharing photos of available inventory, a wanted list for consignors, or any other longer content without eating into your segment count.
Troubleshooting
A customer says they're not getting my texts. Check that they're opted in and that the number on file is a mobile number — only contacts meeting both conditions are textable. If they should be receiving messages and aren't, check the SMS error report for the day you sent to see whether delivery failed and why.
A customer wants back on my list after opting out. They need to text START to your assigned SnapSMS number from their own phone. There's no way to opt someone back in from within the system on their behalf — re-importing them will not do it.
Someone replied to my marketing message and I can't answer them from that screen. That's expected — the marketing number is outbound only. Find their reply under Marketing Replies, note their name or number, then search for them in Messages or Contacts to continue the conversation from there.
My group count is smaller than I expected. Everyone in a group — whether from CSV import or List Builder — needs a valid, opted-in mobile number on top of matching your criteria. Anyone missing either won't be included.
My CSV import came in short. Imports cap at 4,000 contacts per file, and anyone already opted out is excluded by design (they'll need to text START themselves). Split larger lists into multiple files.
I'm using segments faster than expected. Inbound replies count toward your segments, and so do auto-replies and keyword responses — not just what you type and send. Check message length first, since anything over 160 characters uses more than one segment, and consider moving longer content into a Page Builder page instead.
