QuickBooks Online (QBO) Integration Overview

The SimpleConsign integration with QuickBooks Online (QBO) simplifies accounting for consignment businesses. It syncs consignor check payouts, and SimpleACH payouts if enabled, to QBO, streamlining bookkeeping and eliminating manual entries.

Important note: To integrate with SimpleConsign, a separate QuickBooks Online (QBO) account is required. The QBO integration is included with the Professional subscription plan and is available as an add-on feature for the Standard plan ($50/month) and Basic plan ($75/month). Please be aware that the SimpleConsign integration does not cover the cost of the QuickBooks Online subscription.
Important note: QuickBooks Desktop is not supported.
Important note: If you void a payout batch in SimpleConsign we do not void that in QBO. Once synced we don't touch them.

To learn more about how to set up and use the integration in SimpleConsign, please watch our video guide or read the step-by-step instructions below.

Instructions

Setup

  1. From the Back Office, navigate to Settings.

  2. Click on the QuickBooks tab and then Connect to QuickBooks.

  3. Log in using your QuickBooks Online credentials.

  4. Connect to SimpleConsign.

  5. Once SimpleConsign is connected, select the name of the account to enter payouts under (i.e the expense account) and the name of the account for your bank.

We typically see the name of the account to enter payouts under as "Cost of Goods Sold".

The list of bank accounts pulls directly from QBO.

Sync SimpleACH payouts: If you pay consignors through SimpleACH and want those payouts in QBO, check Sync SimpleACH payouts. This box is unchecked by default and is set per location, so check it for each location that uses SimpleACH. SimpleACH payouts made while the box is unchecked are not synced, and checking it later does not add them to QBO. If you need earlier SimpleACH payouts added to QBO, please contact our support team.
  6. Hit Save and Exit when the connection steps are completed.

If you don't see the account you expect in the dropdown: the account list only shows accounts that QBO currently returns as Expense type. If an account was switched to a different type in QBO (even one it used to be), it will no longer appear here, even though it's still active and in use in QBO. See the QBO Error Resolution Guide if this happens.

Setting up a new location? The expense account and bank account have to be set individually for each location — they are not copied over from your other locations, even if those locations share the same QBO company and you plan to use the same accounts. Skipping this step is the most common reason payouts fail to sync for a newly added location.

  7. From this point on, check payouts will automatically appear in QBO, along with SimpleACH payouts for any location where Sync SimpleACH payouts is checked.

Using the Integration

  1. Pay out a consignor by check or SimpleACH. For detailed instructions on paying out consignors, please refer to our Consignor Pay Outs article.
  2. Once the payout is complete, it'll sync over to QBO underneath the consignor's account. Please be aware that QBO and SimpleConsign use different terminology for similar data points. The table below highlights these differences:

    QBO SimpleConsign
    Company Location (Store)*
Vendor (Payee) Consignor Name + ID
    Mailing Address Consignor Address
Category Name of account to enter payouts under
Bank Account Name of account for your bank
    Check no. Check #
    Payment Date Check Date
    Amount  Amount
*Note: A SimpleConsign location can be mapped to a QBO company in a 1:1 relationship, or if you have multiple SimpleConsign locations, you may choose to map them all to a single QBO company, depending on your preference."

The following example demonstrates how a payout in SimpleConsign appears as a check in QuickBooks Online (QBO):

    Payout in SimpleConsign

    Check in QBO

SimpleACH payouts in QBO: SimpleACH payouts are also recorded as checks in QBO, using the same accounts, vendor, and department as check payouts. Instead of a check number, the Check no. field shows "ACH" followed by the location ID and payout ID (for example, ACH 1234-56789). The amount includes the SimpleACH fee on a single line. SimpleACH payouts sync as soon as the payout is submitted in SimpleConsign, before the bank transfer completes.

  3. To locate consignors in QBO, go to the Vendors section by navigating to Vendors > Expenses. From this view, you can review all payouts associated with each consignor account.

If you prefer to see individual payouts consolidated in one view, navigate to Expenses > Expenses.

  4. Finally, if you paid by check, you'll need to print your checks. This step doesn't apply to SimpleACH payouts. Checks can be printed through either QBO or SimpleConsign. Please refer to the articles below for detailed instructions on both processes:
