Adding Consignors

Adding a Consignor Before creating a new consignor account, it's important to search through the existing consignor list to avoid creating duplicate accounts. Once confirmed, navigate to the Consignment Tab and select +Create New Consignor.

Additionally, if the new consignor has already been entered as a consignor at the current location, you can easily make the consignor account at other store locations. Add to all Locations or Expand Locations and just add to a single store location in the top right.

Editing a Consignor

If you need to update an existing consignor's details, simply select the consignor from the list and choose Edit Consignor Account.
 

 

Contact Information

When adding or editing a consignor, a range of information can be recorded. Note you can toggle between the Simple and Detailed view in the top right. Please visit our Create a Customer article for more information.

Click the pencil icon Screenshot 2026-07-20 at 4.59.44 PM.png to edit first name, middle name, last name, business name, email, cell or alternate phone.

Balance & Credit

Current Balance, Pending Balance, and Available Credit. 

Loyalty ID is used by some stores to track reward points. This ID can be scanned at check out to quickly link a person to a transaction.

Consignor Info

The details under Consignor Info pertain to the consignor account.

Consignor ID

This serves as the account number for the consignor. By default, the system will generate a 6-digit number for each consignor, however, these IDs can be manually changed as needed. Consignor IDs may include both letters and numbers (alphanumeric characters).

Important Note: If Sequential IDs are enabled, this field will not be editable.

Inventory defaults

Set whether the consignor's inventory should automatically be marked as Do Not Discount or Never Expire.
Do Not Discount means the inventory will be excluded from automatic discounts
Never Expire means inventory will not have an expire date.
*When you turn these on the software will only change newly entered inventory for this consignor, it will not retroactively change inventory that is already in stock. That is considered under contract under the terms and conditions it was entered in under.

Splits

By default, the consignor's account will inherit the splits from the location settings. However, you can override these settings by selecting either the Flat Split or Tiered Split option for this consignor.
*When you change the split the software will only change newly entered inventory for this consignor, it will not retroactively change inventory that is already in stock. That is considered under contract under the terms and conditions it was entered in under.

Bulk Update Inventory Splits

If you need to update the split for all available inventory, visit the Refactor Consigned Item Splits section.

Pay By

This the the method that the consignor will be paid by. Choose ACH, Check, or Store Credit.

Consignor Access Permissions

These options are toggleable for each consignor as well as the location as a whole. View the Consignor Access Setup article for more information.

Portal (Consignor Access)

Consignor Access enables consignors to manage their inventory and view sales history in one central location. Further details can be found in the Consignor Access article.

Recurring Fees & Discounts

Monthly Fee

To prevent unexpected charges, make sure that monthly fees are configured correctly prior to activating consignor accounts. Improper setups or leaving accounts active could result in unintended charges even before the store officially opens.

The Monthly Fee, also known as "Rent", allows you to charge consignors a recurring fee. This is managed using the following fields:

  • Monthly Fee – The dollar amount to be charged each month.

  • Fee Day of Month – The day of the month the fee will be applied. You can choose the 1st, 15th, or the last day of the month.

  • Fee Description – A custom label that appears on consignor reports to describe the fee (e.g., “Booth Rent” or “Membership Fee”).

This feature is most commonly used in antique malls to charge booth rent, but it’s also useful for collecting monthly membership fees in consignment stores. Additionally, when setting up a new store, ensure that all consignor fees are temporarily deactivated until billing processes are fully operational. This precaution will prevent any unintended fees during the setup period.

Troubleshooting and Best Practices for Monthly Fees

  • Monitor Active Accounts: Regularly verify all active consignor accounts to prevent unintended charges.
  • Avoid Duplicate Fee Configurations: Ensure that fees are not double-applied in both global and individual account settings.
  • Deactivate or Remove Fees Temporarily: If troubleshooting fees, deactivate accounts or remove fees as needed until issues are resolved.

Discount

The Discount Percentage, Start Date, and End Date fields enable you to apply specific discounts to this consignor's inventory, often used in antique malls for vendors or dealers. Please refer to our Discount Types article for more details.

Credit Card Processing Fee

This option determines whether the consignor will be charged a fee for credit card processing, as configured in the credit card processing settings.
