Inventory Statuses

The status of your inventory determines what you can do with it. The chart below explains what each status means and whether a user can set the status or only the system.

 

Status Description System Only 0 Quantity
ACTIVE Active inventory means just that. If consignment item ever leaves the ACTIVE status you can change it back. Please note that if an item expires and you switch it back to active without extending the expiration date, the item will expire again at midnight.    
SOLD

Automatically applied when a consigned item sells out (hits quantity 0) and the item will no longer be editable without first being restocked.

Store owned inventory will never change to status SOLD regardless of the current quantity as it is always sellable even at 0 quantity.

EXPIRED Automatically applied when a consigned item reaches its expire date (assuming there is no grace period to come first).  
INGRACE Automatically applied when a consigned item reaches its expire date and there's a grace period applied in the location settings. Once the grace period passes the status will update to EXPIRED.  
DONATED This status is there in case you want to donate an item to charity. The quantity will be adjusted down to 0 regardless of the current quantity.  
CONVERTED You can use this to convert the selected item(s) to store inventory. If an item sells after it has been converted, all the money goes back to the store and the original consignor gets nothing.    
RETURNED Use this status if you are returning a consignor's items back to them. It will adjust the quantity of the item down to 0 regardless of the current quantity.  
LAYAWAY Automatically applied when an item is in an active layaway transaction and the item is unavailable for sale, but is not yet fully sold.  
MISSING If you cannot find an item in the store, you can change it to this status. Changing an item to this status will adjust the quantity of the item down to 0 regardless of the current quantity.  
DAMAGED If you find a damaged item you can change the status to DAMAGED. This status will adjust the quantity of the item down to 0 regardless of the current quantity.    
UNAVAILABLE If you have an item that you'd like to hold on to temporarily you can change it to this status. This status will not adjust the quantity of the item, but will make it unavailable for sale.    
INCOMING Automatically applied when the item is being transferred to the location, but the item has not yet been marked as received.  
TRANSFERRED Automatically applied when the item has been transferred to another location and is no longer available for sale in the original location.  
WITHDRAWN Automatically applied when the item has been withdrawn from sale by the consignor via Consignor Access.
